A thank-you letter does one thing: it tells the donor their gift landed, mattered, and was noticed by a human being. That is the entire message. And it is the difference between a donor who gave once and a donor who gives every year, because people repeat what got seen.
Why a letter and not just an email receipt. The receipt is a transaction record. The letter is a relationship record. It is signed, it is held, and it does not disappear into a folder. For older donors especially, the printed thank-you IS the acknowledgment; everything else is paperwork.
What makes a good one. It is short. It names what the gift made possible in plain words. It is signed by a person, not a department. And it asks for nothing, which is exactly why it works; the next appeal arrives months later to a reader who remembers being thanked.
The timing. December gifts deserve a January letter. That means the thank-you goes into the year-end mail plan now, alongside the appeal, not as an afterthought when the holidays are over and the list is stale. Order both together and the January mailing is already standing when the December gifts arrive.
